Policy

The following documents are imaged into the IDM system for new and continuing cases:

  • All application forms: Only the signature page is scanned if it is a CalWIN generated application, since CalWIN has the capability of reprinting prior applications through the Client Correspondence subsystem. The entire application must be scanned if a shelf-stock form is used.
    • Note: Completed applications and/ or forms, and verifications submitted via the MyBenefits CalWIN (MyBCW) online portal do not need to be scanned into IDM. These documents are viewable in CalWIN through the External Referral Subsystem.

  • Rights and Responsibilities signed by the client. For Medi-Cal, clients are not required to return or sign the “Important Information for Persons Requesting Medi-Cal” (MC 219) form. However, if the client returns a signed MC 219, it must be scanned into IDM.
  • All redetermination applications. 
  • All periodic reports along with attached verification.
  • All verifications provided by the client.
  • All third party verifications whether on own stationary or county provided forms such as proof of school enrollment.
  • Informing notices that require the signature of the client.
  • All shelf-stock or CalWIN generated forms completed and signed by the client.
  • All non-CalWIN generated client correspondence such as hand-written NOAs.
  • All fraud, overpayment/overissuances and SFIS paperwork not already in CalWIN.
  • Any other documents provided by clients.
