Imaging and Order of Filing in Imaging

Introduction

With the implementation of CalSAWS, all cases will be electronic, and all documents received from clients that are required to be retained will be scanned, indexed and stored in the Imaging component of CalSAWS.

Drawers are repositories where the images are stored in the CalSAWS Imaging Solution and each imaged document contains document properties. Refer to the Job Aid: Imaging Drawers and Document Properties for details.

Filing Order

Forms and documents are filed in Imaging in the appropriate sections in inverse order by date (most recent Created date on top).

Entering Documents into Imaging

Documents are to be entered into Imaging in a CONSISTENT orderly manner. They are stored under the Form Name and Form Number. Certain imaged documents follow document routing rules and may create an automated Task.

The EC is to submit to clerical to have the documents and verifications imaged. Refer to the Imaging and Task Creation Guide to ensure the document/verification is imaged correctly.
