Telephone Interviews
For telephone interviews, EWs will send the client a link to the appropriate program forms via email.
If the client doesn’t have an email address and the email box is left empty in CalWIN, their case information is automatically printed on a daily listing. Designated clerical staff receive the listing and mail the appropriate IIPs via USPS to the mailing address provided by the client.
If the client refuses to sign the “Consent to Receive Electronic Communications from the County of Santa Clara” (SCD 2551), or insists on a hard copy of the informational forms, EWs will need to submit a request to the following email address; BAC Mail Team@ssa.sccgov.org. The email must contain the following information:
- Client’s Name
- CalWIN Case Number
- Packet Needed (i.e. CalFresh & Medi-Cal, CalWORKs & CalFresh)
The IIP will be mailed by clerical staff via USPS to the client.
Telephone Applications
CalWORKs and CalFresh regulations require counties to also provide a copy of the SOF to clients when an application is taken and approved by telephone. EW’s will email the SOF to clients when an email address is provided and the client signs the “Consent to Receive Electronic Communications from the County of Santa Clara” (SCD 2551).
If the client doesn’t have an email address or refuses to sign the SCD 2551 form, EW’s will have the SOF printed and mailed via CalWIN overnight batch. EWs will also need to submit a request to the following email address; BAC Mail Team@ssa.sccgov.org. The email must contain the following information:
- Client’s Name
- CalWIN Case Number
- Packet Needed (i.e. CalFresh & Medi-Cal, CalWORKs & CalFresh)
The IIP will be mailed by clerical staff via USPS to the client.
MyBCW Applications
For clients applying by MyBCW, it is not required that a SOF be mailed.
Face to Face Interviews
For face-to-face interviews the IIP may be provided by the EW or a link to review the information may be sent to the client’s email address. See Email information above.
