Renewal/Exception Eligible

Renewal

The Renewal process establishes MEDS/CDB eligibility for the FUTURE calendar month. The MEDS/CDB Renewal process is run by approximately the 24th of each month.

MEDS/CDB current month information becomes the first prior month of history after the Renewal process is run. Pending/future information is moved to the current month.

If an error is detected, the Renewal process generates a CEWA. Additionally, if corrective action is not taken, the record may be placed on Hold. Refer to “Burman Hold Process,” of the Chapter 5 of MEDS Handbook.

Note: Refer to the Calendars on the Program web page for MEDS/CBD Renewal Cutoff dates.

Alert Distribution

Renewal MEDS alerts listing posted on BI on the 28th of the month are retrieved and distributed to eligibility staff by an designated MA at each District Office.

  • EWs review and resolve all renewal alerts within five (5) working days. If the discrepancies are not cleared by the MEDS Cutoff of the following renewal month, the same or a different MEDS alert related to the error will be generated.
  • Corrective actions including a GadWIN ticket number must be entered in the Journal Detail page. If necessary, submit an SCD 1296 to correct MEDS.
  • A Renewal MEDS alert generated in CalHEERS is also displayed in [INWA] screen in MEDS for an individual who has a CalSAWS case. EWs are not required to update MEDS messages/alerts status in CalHEERS, but highly recommended to review the MEDS alert in CalHEERS and ensure the individual data associated with the MEDS alert in sync in three systems (CalSAWS, CalHEERS and MEDS).
  • Unresolved alerts may impact clients’ eligibility and their ability to access medical services and/or treatment.

For additional guidance to process a MEDS alert, refer to Quick Guide for Processing MEDS Alerts and MEDS Alerts Real Examples and Fixes , located on MEDS Program web page, MEDS Reference Materials.
