Assigning Cases

When assigning cases, the following criteria must be taken into consideration:

  • Language,
  • All CalFresh cases need to be held for Quality Compliance review,
  • Lowest caseload on DSR00648 Caseload Listing, and
  • Reductions in caseload are authorized in writing by the supervisor.

Language Code

When the Control Clerk assigns cases, they are sorted by language. The following are the language codes:

Intake Office Procedures

The Management Analyst at Intake Offices has the responsibility of monitoring the Control Number daily and sending the DSR00648 listing to the Control Clerk for transfer. These cases must be approved/denied and completely ready for transfer. Follow the process below to assign cases:

  1. Review/Sort by language, percentage, and program.
  2. If a case has an active CalFresh Program, transfer all Programs to Control caseload for Quality Compliance to review on the Manage Case Assignment window. 
    1. If a case does not have an active CalFresh Program, transfer all programs to the appropriate district office based on where the client resides.
  3. Print the Control List and transfer cases after they have been reviewed by Quality Compliance. If a case has been rejected by Quality Compliance, move all programs back to the EW Supervisor number and send an email advising the Supervisor that the case has been transferred to their worker number.
  4. Send New Worker Letter.  Refer to Chewable Byte CB 2023-51: How to Assign/Reassing a Case or Caseload

Note: No action is required for Minor Consent cases.

Continuing Office Procedures

  1. Add a case weight to the DSR00648/Caseload Standard Tracking Report as the case is assigned.
  2. Assign the case to the worker via CalSAWS.
  3. Number of cases to be assigned to any worker, per day, is determined as per district office procedures.
