Shared Data Element Changes - CDB
General Information
CalSAWS generates a change transaction to the Food Stamp CDB when a client’s record is changed in CalSAWS, provided there is Food Stamp history in CalSAWS. Whether or not the change will be accepted by CDB depends on:
- What information is being changed, and
- What type of record is on the MEDS/CDB database.
Note: It is important to remember that CDB and MEDS share the same database. Data can be either “shared” or “not shared.”
Shared Data Elements Include
- MEDS-ID (SSN)
- Name
- Sex
- Birthdate
Changes to Shared Data Elements
- If the person has a MEDS record (either open or closed), any changes on CDB to a shared data element must be accomplished through a MEDS (EW) transaction, not a CDB (FX) transaction. MEDS is considered the DRIVER for the MEDS/CDB record. The MEDS (EW) transaction will change BOTH the MEDS and CDB records.
Exception: If the person has a truncated MEDS record (termination date on MEDS is more than 13 months prior and the GOV-RSP code is ‘6’), the change is to be made through a CDB (FX) transaction, not a MEDS (EW) transaction.
- To change a recipient’s SSN, Name, Sex or DOB on a CDB record that has an open or closed MEDS record in our county or another county:
- Approve the recipient in CalSAWS, using the same SSN, Name, Sex and DOB, that is on the existing open or closed MEDS record. It is extremely important to select the correct record when completing the Person Clearance process, otherwise a duplicate record may be created.
- After the recipient’s CDB record has been activated, changes to the CDB record may then be made.
- Important procedures to remember about DOB and SSN changes are as follows:
- FOR DOB CHANGES: If the SSN has been Validated (SSN-VER code is A, B, C, D, E, F, H, I, J, K, or W), birthdate changes are limited. Refer to Birthdate/Name/Gender Corrections.
- FOR SSN CHANGES: If the SSN has been Validated (SSN-VER code is A, B, C, D, E, F, H, I, J, K, or W), the SSN-VER code must be lifted and replaced with an * (asterisk) by the MEDS Coordinator prior to correction on CalSAWS and MEDS/CDB. Refer to MEDS/CDB Record Changes.
