2108 - Birthdate Change Outside Range for Validated SSN - Reject

This error results from changing the birthdate on a recipient, when the previous birthdate has been validated by SSA. To avoid this error, the EW should always obtain a [Primary Medi-Cal/CMSP Information] INQM and a [Other Client Eligibility Information] INQE screen prints prior to changing the birthdate in CalSAWS.

Review the code displayed in the [SSN-VER] field. Codes ‘A through D’ or ‘J through M’ mean that the SSN and DOB have been validated and changes to the birthdate are limited to the following:

  • If the DAY AND MONTH REMAIN THE SAME, the year may be changed.
  • If the YEAR REMAINS THE SAME, the day and/or month may be changed.
  • If the DAY AND MONTH REMAIN THE SAME, the century may be changed.

This alert can be generated as a result of either a CalSAWS or MTO action. If received as a result of a CalSAWS transaction, attempting to have the MTO generate the same transaction will have the same results and vice versa (e.g., it will still reject). If the birthdate on MEDS/CDB is incorrect, follow the steps below:

Action Required

  • Refer the recipient to the Social Security Administration with an MC 194. In the interim, the birthdate on the Individual Demographics Detail page must be changed to the date of birth on MEDS/CDB to avoid any other problems.
  • When the MC 194 is returned, after going through the proper channels, a GadWIN ticket must be generated for each record with the relevant MEDS and CalSAWS screen shots attached.
  • Once the MEDS Coordinator has lifted replaced the SSN-VER Code and replaced it with an ‘*’ or ‘R’ on the MEDS/CDB record, the EW will be notified and the correct birthdate can be entered on the   window.

Note: If the DRA source is BM (Birth Match) or not county code 43, submit a GadWIN ticket to request DRA source removal prior to correcting the birthdate.
